How Ulearn Works
Here, I'll take you through a complete tour of Ulearn, showing how all the features listed above are pieced together into one connected, feature-rich system that you can use to run your entire school, and that everyone else in your school can also log into and use for their own benefit. We'll start with how users see their class schedule, then move to how a teacher prepares a class, how students log in and see the homework assigned in that class, how they turn it in, how graders receive the homework and grade it, and how report cards are generated for every single student and land in the laps of parents. Along the way we'll cover everything in between, such as how attendance is tracked and how students join online classes. So if you are serious about taking Ulearn for a spin, please follow this walkthrough carefully.
Class Schedule Organizer
The Class Sessions page gives every user — owner, administrator, teacher, student, and parent — a high-level snapshot of their class schedule for any given day. It shows the most important information about each class, along with relevant user-specific details, such as which students need the most attention on that date for admins, and which homework assignments are outstanding for students. By default, the page displays the current date, but users can easily navigate between past and future dates, so any class on any date can be found with a few clicks and opened to view all of its details and contents. For admins in particular, this page is extremely useful for managing multiple classes at once without being overwhelmed.
The owner and other administrators see all classes, while teachers and students only see the classes they are part of and have been granted access to. At a glance, administrators can see which classes still need updating, which classes are being held online, which students do not plan to attend, and who is behind on homework and grades. They can also update attendance, enter quiz grades, and mark homework as completed using quick-action dropdown panels, all without leaving the page. I'm sure you've experienced multiple things being thrown at you at once. This makes handling everything a lot less chaotic and makes you look like you've got it all together.
Class Preparation
Once a class is clicked into, its details are shown, and a teacher or administrator can start preparing the class, that is, making class material and information available to the students enrolled in it. All class-specific resources — the lesson plan, class comments, teacher-to-student comments, attachments, assigned homework, and quizzes — live in one space that students can easily find. This is also the page where students submit their homework in-app and access class recordings. What if, after class has been dismissed, the teacher realizes he's forgotten to provide a file, or wants to change the assignment?
Imagine doing this the old-school way: contacting or emailing students individually for this one change. Instead, one upload or one edit serves everyone in the class, including parents connected to their children's accounts, so parents also know what's going on, all without anyone reaching out.
Teachers can also prepare a class with no added work by simply pulling in a past lesson or past class recording from the school's curated repertoire of pre-prepped lessons. More on that later.
Digital Communication Book + Student Agenda
The same class details page, when viewed by a student, reflects what the teacher or administrator has prepared. For every class, students can log in and see the lesson or subject of the class, assigned homework, quiz and homework grades, comments the teacher left for the entire class and for that specific student, and class recordings for review or for making up a missed class. This page completely replaces physical communication books and personal academic agendas. But it is not only a portal to class material. It is an academic workspace where turning in recording homework, for instance, is actually a guided reading exercise with AI-assisted pronunciation, word definitions, and translation guidance. More details on this later.
So, before class, students can get a brief of what to expect and download any preparation material they need. After class, they turn in homework, practice, and make up a missed class by watching its recording so they don't fall behind. Once work has been received and graded, grade updates are reflected here as well. The page then becomes a permanent record of the class to look back on.
Online Classes
If in-person classes are disrupted, the entire class can easily be hosted online with Ulearn's Zoom integration, since students are already familiar with Ulearn. This gives schools a reliable operating model for bad weather, pandemics, or other unexpected circumstances. On normal days, teachers can also run in-person classes and host the same classes online at the same time. We call these hybrid classes.
With hybrid classes, absent students can still join live with a login and a click. If a student cannot attend live, the class recording is automatically uploaded to the correct class session right after class ends, alongside all other relevant class material. Students can then watch the class, catch up, and submit work without needing to reach out to anyone. Students don't fall behind, families stop requesting refunds for absent days, and school operations stay stable when the unexpected happens.
Submitting Homework With Powerful Learning Tools
There are two categories of homework: written homework and recording homework. Written homework can be submitted online as a JPEG, Word document, PDF, or other file (most file types are supported), or submitted in person and graded. Recording homework comes in two types. The first is standard recording homework submitted online, which is reviewed then graded by an administrator or teacher. The second is recording homework with a Collection, that is, reusable lesson content, applied to it. If you take advantage of the second type, your students will truly excel in their language acquisition.
Guided Recording Homework
Before attempting a recording assignment, students first listen to the teacher's model recording of the reference text, then record directly in-app. Whisper AI immediately evaluates the attempt, flags every mispronounced word, and lets the student listen to the correct pronunciation of each missed word before trying again. Each attempt improves on the last. By the final required attempt, the student delivers the article with accurate pronunciation built through guided repetition, without anyone coaching every student individually outside of class.
Students can also tap any word to hear it and read its definition and translation. Over time, they can track how many words from standardized tests — TOEIC, IELTS, TOEFL, SAT — they already know, turning daily practice into a measurable long-term asset. Most of what students need to truly excel happens between classes, not during them. Ulearn turns that gap into structured, self-directed practice that compounds over time.
Re-Usable Lesson Reading and Homework
All the content in a guided recording assignment — model teacher recording, reference text, word definitions and translations, focus words and phrases — seems like a lot to prepare for one class. Luckily, once it is prepared, it can be saved to a Collections folder and re-used by dropping it into future classes or other classes.
When creating a Collection, the reference text does not need to be typed. It is auto-transcribed from the teacher's model recording and can be edited afterwards. Individual word and phrase definitions and translations come from selected dictionaries controlled by Ulearn's Lexicon system, and any of them can be customized. Sample recordings of individual words can also be recorded and stored for future use.
Homework Grading
Once homework is submitted online, it lands in a centralized grading queue where teachers and admins can share follow-up work instead of leaving one person overwhelmed. Recording assignments are analyzed and graded automatically by Whisper AI, which speeds up follow-up and improves grading accuracy.
For physically turned-in work, teachers or front desk staff can quickly record who submitted, score the work, and add feedback directly into the system. Whether grades and feedback are entered manually or automatically through AI analysis, report cards are updated immediately, and students and parents can see results right away. This organized, structured system helps reduce grading workload and chaos.
Report Cards
Every piece of collected student data is aggregated into a single, always up-to-date report card, accessible to staff, the student, and the student's parent. It is dense with information reflecting the student's performance and work ethic, and it is made entirely transparent to the parent, providing proper oversight to parents and accountability to students.
The report card contains course homework and quiz averages, along with details about each class: attendance, lesson plan, class comments, homework completion and grades, quiz grades, and any personal feedback left by the teacher. Administrative tools allow staff to ensure that report cards will be seen by parents. The result is an entire school of more responsible and harder-working students, guaranteed.
Attendance Tracking
Attendance can be conveniently updated in a class-specific dropdown panel on the Class Sessions page, allowing administrators to record attendance for multiple ongoing classes at once without leaving the page. Assigned teachers can also help with this, reducing administrative work.
If a student or parent notifies the school of a sick leave, it can easily be recorded as a planned absence. Attendance can also be recorded directly in each class's details page. Attendance records are later used to create tuition invoices in Ulearn's billing system.
Outstanding Homework Tracking
Ulearn provides a number of tools to ensure students stay on top of their work. The outstanding homework dropdown panel on the Class Sessions page shows teachers and administrators which homework assignments students in a particular class owe. Teachers and administrators can check these assignments off manually and assign a grade, and teachers can use the panel to remind students in class what they still need to do.
The same panel also tracks attendance, so teachers and administrators don't need to open the separate attendance dropdown; both can be done together in one shot. Beyond this panel, students and parents are reminded of missing assignments in multiple places when logged in: their personal dashboard, the Class Sessions page, and the student report card page.
Quiz Grade Management
Another dropdown panel on the Class Sessions page provides a place to enter quiz grades for a particular class if a quiz exists. Teachers and admins enter student quiz grades here, and the grades are then reflected in report cards. Grades can also be entered as fractions so that percentages are calculated automatically. Quiz grades can also be entered on each class's designated details page.
Student-Specific Teacher Feedback
Teachers can conveniently leave class-related feedback for individual students — behavior, missing work, poor performance — in the outstanding homework dropdown or in the student attendance section of the class details page. These comments are then displayed in the class session record on the student's report card for the student and parent to view.
Parent Accounts
Parents can register their own account and link it to their child or children. Without needing to ask the child's permission, parents can log into their own account to view basically everything the student sees.
Parents will know whether their child is doing their homework and submitting it on time. They can see their child's grades, individualized teacher feedback, what is being taught in each class, and the report card, and they can play back their child's recording homework. With a reliable reporting channel to parents, students self-regulate, class order rises, and teachers are no longer the sole enforcers. The discipline burden lifts without adding any extra work.
Getting Report Cards to Parents
Ulearn doesn't only create report cards; it also provides tools that ensure every single parent periodically sees their child's report card, even if they haven't registered their own account yet. How?
Administrators can track when report cards have been viewed and when they were last distributed to parents. A report card can be distributed in three ways: sent to a parent's Ulearn account, printed for the student to take home for a parent's signature, or copied to the clipboard and sent through any messaging channel. Each distribution creates a timestamp. So if an administrator sees that a particular parent hasn't "acknowledged" a report card notice sent through Ulearn, the administrator can take further action and print a copy for the student to take home. If the student then fails to bring the signed report card back to school, the administrator will know to manually copy it and send it to the parent through email, WhatsApp, or another messaging channel.
At the top of the Class Sessions page, administrators can also see which students in class on any given day need the most attention, categorized by those with the most outstanding homework, the lowest quiz grades, and the lowest homework grades. They can then prioritize distributing report cards to the parents of those students. Nothing slips through the cracks.
Class Recording
As an alternative to online Zoom classes, administrators and teachers can create class recordings through Ulearn without opting for the integrated Zoom functionality. With recorded classes, students can re-watch classes or make up missed ones.
Admins can also save these recordings into the class recording library and drop them into future classes to be re-used as pre-prepped classes, similar in concept to how a Collection reading can be used over and over again. If the school wants, it can even monetize classes that have already been recorded by offering them as a non-live class bundle.
In-App Messaging
Will update soon.
Create Homework Based on Reusable Lesson Content
As mentioned earlier, recording assignments come with a teacher model recording, reference text, test words, definitions, and more. You can imagine that's A LOT to prepare for the student. Well, prep a lesson once, and re-use it anytime, anywhere.
Collections is the reusable lesson library. A teacher or administrator can build a lesson once, then apply it to future class sessions instead of rebuilding from zero every week. That lesson can include a teacher sample recording with auto-generated article transcription, which is intimately integrated with student homework. As teachers keep adding to Collections, the school builds a real curriculum repertoire that both teachers and admins can use. This reduces prep time, raises consistency across classes, and preserves high-quality lesson work instead of letting it disappear in personal folders.
Billing (coming soon)
Eliminate manual calculations, reduce errors, and cut billing stress. Invoices are automatically generated from real-time enrollment and schedule data, and admins can apply percentage discounts with automatic recalculation, keeping everything accurate without extra work.
Parents can view statements, payment history, and balances anytime, then pay online instantly. This transparency drastically reduces disputes and the time staff spend explaining charges, making billing one of the highest-impact features for streamlining operations and easing stress for both administrators and families.
